Job Description

Job Summary

Harvard Law School is embarking on an exciting journey to implement a new Student Information System (SIS) to enhance our administrative processes and improve the student experience. This is a critical project that will modernize our operations and require dedicated support during the transition period. The school is seeking a detail-oriented and organized Staff Assistant to support office operations during the implementation of a new SIS. The Staff Assistant will provide critical administrative support across several key offices (e.g., RO, OCP, OAA) to ensure a smooth transition while helping to maintain daily operations and excellent service to students, faculty, and staff. This is a 24-month term position.


Job-Specific Responsibilities

As a Staff Assistant you will:

  • Assist with data entry and verification, document processing, and records management related to student enrollment, evaluations, transcripts, examinations, and pro bono placements.
  • Provide data entry and proofreading of HLS course catalog during curriculum building.
  • Support independent clinical program enrollment and data entry.
  • Provide clerical and logistical support to team members, supporting project-related tasks for key offices during system implementation.
  • Respond to student and faculty inquiries via phone, email, and in person, ensuring accurate and timely information is provided.
  • Support testing and validation of new system functionalities as directed by project leads.
  • Maintain confidentiality and accuracy in handling sensitive student records in compliance with FERPA and institutional policies.
  • Perform general office duties as assigned.

Qualifications

Basic Qualifications

3 or more years of experience in office administration or academic services environment. Education beyond high school may count toward experience.


Additional Qualifications and Skills

We are looking for people who have:

  • Previous experience in a registrar’s office or similar academic services environment.
  • Familiarity with student information systems or higher education enterprise software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to learn new technologies quickly and follow detailed procedures.
  • Ability to manage multiple tasks in a fast-paced environment with shifting priorities while maintaining strong attention to detail.
  • Ability to work independently and as part of a team.

Additional Information

Appointment End Date: This is a term appointment currently expected to extend to August 31, 2027 with potential for renewal, subject to departmental funding and need.

Standard Hours/Schedule: 35 hours per week; M-F
