Job Summary

The Continuing Education Staff Support provides administrative and operational assistance to the Continuing Dental Education (CDE) team. This position helps ensure that all continuing education courses, seminars, and symposia are organized efficiently and delivered to the highest professional standards. The role involves managing logistics, supporting faculty and participants, and maintaining compliance with accreditation and documentation requirements.

Skills / Knowledge / Abilities

Comfort with the following job duties:
  • Prepare correspondence, forms, and reports related to CDE programs.
  • Maintain participant databases, registration records, and CE credit documentation.
  • Assist with preparing and distributing course materials and certificates.
  • Assist with course logistics, including room scheduling, catering, audiovisual setup, and materials preparation.
  • Support registration activities, including pre-event check-in, onsite assistance, and post-event follow-up.
  • Communicate with participants, faculty, and vendors to ensure smooth operations before, during, and after each program.
  • Help coordinate virtual CE events using Zoom, including managing participant access and technical support.
  • Respond to inquiries from participants, faculty, and staff regarding course schedules, registration, and policies.
  • Assist with marketing and communications, including maintaining website content, email lists, and course announcements.
  • Support production of promotional materials and social media updates as directed.
  • Maintain organized records of attendance, evaluations, and course approvals.
  • Assist in preparing data and reports for accreditation reviews or audits.

Preferred Education/Experience
  • Strong proficiency with Microsoft Office Suite (especially Outlook, Word, and Excel)
  • Strong proficiency with virtual conferencing software such as Zoom and Microsoft Teams.
  • Experience with website development (especially with HTML and CSS)
  • Exceptional attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to follow instructions carefully, manage time effectively, multi-task, and work independently on assigned tasks.
  • Experience with a learning management system (LMS) or event registration software.
  • Experience in an academic or continuing education environment.
