Job Description

The Harvard Trademark Program was established by the President and Fellows of Harvard College to protect Harvard’s trademarks from unauthorized use worldwide. It does this, in cooperation with the Office of the General Counsel and outside counsel, by identifying and addressing cases involving the infringement of Harvard’s trademarks worldwide and by securing the registration of the University’s trademarks throughout the world. In addition, and as part of its trademark protection strategy, the office grants licenses to qualified domestic and international companies to manufacture and sell Harvard insignia items and, in so doing, generates revenue for student financial aid. The Trademark Program also administers Harvard’s various policies and guidelines related to the use of the Harvard name and insignias, and assists Harvard Schools, departments, and units with licensing, use-of-name, and trademark-related questions and issues.

The Licensing Program Coordinator provides essential support to the Harvard Trademark Program by assisting with the administration of the University’s trademark licensing programs and general office operations under the supervision of the Senior Manager.

Key Responsibilities

  • Assist the Senior Manager with the administration of international licensing program, including communicating with licensing agents and licensees concerning various aspects of the licensing program (license agreements, amendments, royalty reports and payments, artwork approvals, etc.). Assist with the domestic licensing program as needed.
  • Support the handling of royalty reports and payments; identify and resolve discrepancies with licensees through written and oral communication.
  • Enter and update licensee information in Trademark Program databases.
  • Maintain comprehensive and up-to-date licensee files for all program areas, including insurance certificates and compliance with fair labor requirements.
  • Support the licensee artwork approval process.
  • Serve as an information resource for licensees, addressing questions regarding their license agreements and requirements.
  • Process special one-time license agreements.
  • Provide administrative support for special office projects and assist with general office needs as required.
  • Assist with administrative financial duties for the office, as directed by the Senior Manager, including processing legal and other office invoices, claiming wire transfers, etc.
  • Perform general office tasks, including answering phones, distributing mail, filing, faxing, scanning, and photocopying.

Qualifications

Candidates MUST meet the following basic qualifications to be considered for this role:

College degree preferred, or an equivalent of education plus relevant experience in an office environment.

Additional Qualifications and Skills:

  • Excellent organizational, interpersonal, and communication skills.
  • Proven ability to manage multiple tasks and deadlines in a dynamic environment.
  • Ability to collaborate effectively with Harvard community members at all levels.
  • Demonstrated capacity to handle sensitive and confidential information appropriately.
  • Experience in higher education is preferred.
  • Proficiency in desktop applications such as FileMaker Pro, Microsoft Word, and Microsoft Excel is desirable.
  • Ability to work both collaboratively and independently.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
