As a university resources coordinator, you will manage departmental calendars for projects, events, walk-throughs, tours, staff leave, and vacation schedules. You will collaborate with the human resources (HR) team and the associate vice president to oversee HR processes and calendar milestones. Additionally, you will provide scheduling support for the physical resources department, including managing meeting room calendars, and assist with fleet management schedules and procedures. Among other responsibilities, you will develop and update maintenance procedures, schedules, and documentation. You will also order office supplies and uniforms, arrange maintenance for office equipment, and coordinate with various teams for specialized repairs, inspections, or installations.

In this role, you will communicate with other departments about maintenance-related issues and schedules. You will support a quality control program through regular building inspections and facility condition assessments, entering work orders and coordinating the completion of multiple tasks. Responsibilities include the facilitation of annual inspections required for backflow prevention devices, elevators, boilers, and other equipment, as mandated by law. Among other duties, you will generate department purchase requests, track order statuses, and coordinate the delivery and installation of items. Additionally, you will collaborate with the finance department to compile monthly and quarterly budget reports; coordinate travel, accommodations, and expense reports for all physical resources staff; and maintain vendor relationships and accounts. You will also enter and track purchase requests valued between $100 million and $150 million annually in e-commerce.

The ideal candidate has excellent communication, organization, and customer service skills. They also possess exceptional scheduling and problem-solving abilities. A detail-oriented professional, they can always maintain confidentiality and discretion. The candidate can manage multiple tasks and work independently in a fast-paced environment. Additionally, they are knowledgeable about OSHA regulations and safety practices.

Minimum qualifications:

  • Bachelor's degree
  • At least three years of related professional experience 
  • Proficient in Microsoft Office Suite, especially Word and Excel
  • Access to reliable transportation
  • Able to lift and carry up to 50 Ibs.

Preferred qualifications:    

  • Successful work experience in a design, construction and/or facility maintenance environment

Certificates, licenses, and registrations:

  • Valid driver’s license

Travel required:

  • Less than 10%  

Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
