Description: This position requires excellent communication, organizational, and multitasking skills to handle a variety of responsibilities, including customer inquiries, project documentation, and administrative tasks. The ideal candidate thrives in a fast-paced environment and demonstrates the ability to balance customer-focused duties with project-related tasks effectively.

Requirements:

  • Perform general office duties, including answering phones, ordering supplies, and maintaining a professional workspace
  • Serve as the first point of contact for customer inquiries, providing exceptional service and resolving issues promptly
  • Maintain organized records for project files and customer correspondence
  • Schedule and coordinate meetings, project timelines, and appointments
  • Prepare and distribute internal and external communications, such as memos, emails, and reports
  • Monitor and track project progress to ensure deadlines are met, escalating issues as needed
  • Support billing, invoicing, and payment tracking processes for projects
  • Assist with special projects and other tasks as assigned by management

Experience Required:

  • Minimum 2 years of administrative experience, preferably in the construction industry
  • Familiarity with construction documentation and processes is highly desirable

Skills Required:

  • Strong customer service and interpersonal skills
  • Excellent verbal and written communication abilities
  • Highly organized with attention to detail and the ability to prioritize tasks effectively
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
  • Ability to handle multiple tasks in a fast-paced environment
  • Strong critical thinking and problem-solving skills
  • Knowledge of construction software or ERP systems preferred
  • Dependable, team-oriented, and adaptable to changing priorities

Education Required:

  • High school diploma or equivalent required
  • Associate degree in Business Administration or a related field preferred

Physical Requirements:

  • Ability to sit for extended periods and work on a computer
  • Requires sitting, keyboard typing and 10-key, use of telephone and computer monitor, walking, filing, and stairs
  • Occasionally lift and carry files or documents weighing up to 10 pounds

Work Environment:

  • Standard office environment with minimal noise
  • This position is on-site and is not eligible for teleworking
