The Manager, Administrative Operations serves as a strategic partner to the Executive Vice President (EVP) and provides high-level operational, communications, and coordination support for a complex executive portfolio. This position ensures the EVP’s time, communications, and engagements are aligned with institutional priorities. The role staffs the EVP by managing information flow, coordinating executive initiatives, preparing briefing materials, supporting presentations and communications, and exercising judgment in prioritizing requests for meetings, appearances, and commitments. The Manager provides daily oversight and supervision, represents the EVP in meetings as appropriate, and ensures meetings are purposeful, communications are clear, and initiatives across the EVP’s portfolio remain coordinated and on track.

Executive Leadership & Strategic Support

  • Serves as the primary support to the EVP. Prepares briefing materials, background information, and talking points for meetings, presentations, and events.
  • Attends meetings as needed to capture key decisions, track follow-up items, and ensure action items are completed.
  • Assists the EVP in preparing for high-level internal and external engagements.
  • Strategically manages the EVP’s complex calendar to align time with institutional priorities.
  • Evaluates and prioritizes requests for meetings, appearances, and commitments using sound judgment.
  • Coordinates meeting preparation to ensure discussions are productive and decisions are well-informed.
  • Coordinates agendas and materials for leadership meetings involving the EVP. Tracks decisions and commitments from meetings and ensures follow-through.
  • Maintains systems for organizing executive materials, presentations, and briefing documents.
  • Drafts and edits correspondence, scripts, remarks, and talking points on behalf of the EVP. Reviews, prioritizes, and responds to emails and communications as appropriate on behalf of the EVP.
  • Develops and refines presentations and briefing materials for internal and external audiences.
  • Manages the EVP social media accounts as appropriate.

Operational Leadership

  • Provides daily oversight and supervision to members of the EVP team.
  • Assigns and delegates tasks, provides direction, resolves work problems, communicates job expectations, trains employees, and develops professional growth opportunities.
  • Conducts annual employee evaluations, provides ongoing feedback and coaching, and effectively recommends pay increases, promotions, and other personnel actions.
  • Approves leaves and authorizes overtime as appropriate. Administers disciplinary actions upon approval and in collaboration with Human Resources.
  • Ensures alignment of assessment strategies with program objectives and fosters a culture of collaborative problem-solving and educational equity.

Portfolio & Initiative Coordination

  • Supports coordination of initiatives and priorities across divisions reporting to the EVP.
  • Tracks key projects, deadlines, and follow-up items to ensure progress across multiple initiatives.
  • Facilitates communication and information flow between the EVP and leaders within the portfolio.

Relationship Management

  • Serves as a liaison between the EVP and internal and external stakeholders.
  • Maintains strong working relationships with college leaders, faculty, staff, and community partners. Handles sensitive and confidential information with discretion and professionalism.

Culture of Respect

  • Fosters and maintains a safe environment of respect and inclusion for faculty, staff, students, and members of the community.

OTHER DUTIES & RESPONSIBILITIES

  • Manages multiple assignments of varying complexity and meets tight timelines and deadlines, with the ability to adapt to changing needs of the College and business partners.
  • Ensures College name and image is perceived positively by external as well as internal
  • audience/stakeholders.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED

  • Bachelor’s degree or equivalent professional experience.
  • Three (3) years of experience supporting senior leaders or executives in a complex organization.
  • *An appropriate combination of education, training, coursework, and experience may qualify a candidate.

LICENSES AND CERTIFICATIONS

State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).

WORKING CONDITIONS

Typical office/academic environment. Regular exposure to moderate noise typical of business offices.
