Carry out the policies and procedures of the Registrar’s Office, specifically those relating to registration. Serve as the initial point of contact for visitors to the Registrar’s Office. Duties/Responsibilities&nbsp; <ul><li>Provide initial customer service to visitors to the Registrar’s Office. </li><li>Answer student questions regarding registration. Educate students on various registration procedures; for example, registering for a closed class, registering with a hold, etc. </li><li>Train students on how to register via myUSI when appropriate. </li><li>Coordinate access to the main office area by determining needs of visitors and then counseling or directing them as appropriate. </li><li>Supervise and coordinate the receipt and distribution of all incoming mail. </li><li>Advise students, faculty, staff, and the general public of the University’s academic policies and practices as they relate to student registration and records data. </li><li>Serve as the receipt recipient and point of distribution of all student record forms used in processing student academic record data. </li><li>Maintain academic enrollment and demographic data including drop/add, withdrawal, change of address, etc. </li><li>Supervise assigned student workers and temporary employees; and train all student workers and temporary employees in registration related processes as required. </li><li>Assist with processing non-attendance withdrawals and academic dismissals. </li><li>Assist with verifying Change of Major forms and Change of Academic Bulletins. </li><li>Create and post appropriate signage on front office door to inform visitors of changes in office hours or office closure. </li><li>Assist students with ordering official transcripts via myUSI. </li><li>Assist students with printing enrollment certifications and Good Student Discount Certificates with the National Student Clearinghouse. </li><li>Scan and index documents into document imaging system. </li><li>Assist office staff with various projects during peak periods. </li><li>Serve as an interviewer with students, parents, faculty, staff, etc. as per Public Law 93-380, Family Educational Rights and Privacy Act of 1974. </li><li>Other duties as assigned.</li></ul> Required Knowledge and Skills <ul><li>High school diploma/GED. </li><li>Excellent interpersonal, organizational and communication skills. </li><li>Must be able to communicate university policies and procedures regarding registration, from simple to complex, to a wide range of audiences from faculty to non-native English-speaking students. </li><li>Must keep students calm in situations where they might not understand how to proceed with registration. </li><li>Must possess demonstrated customer service skills that would benefit in helping students register successfully. </li><li>Demonstrated proficiency with personal computers, spreadsheet, electronic mail and word processing software. </li><li>Ability to assume responsibility for self and subordinates, work under limited supervision and complete projects by stated deadlines. </li><li>Must assess students’ needs and not become frustrated by communications that are unclear. Provide administrative support for the Honors Program and Theme Living Communities. Duties/Responsibilities <ul><li>Work closely with the Director of the Honors Program (HP) and Theme Living Communities (TLCs) to support student recruitment, retention, and success. </li><li>Receive walk-ins, emails, and telephone calls for the two Programs. Assist current students, prospective students, and others with inquiries to the office, including during New and Transfer Student Orientations and other events. </li><li>Maintain student files and student records, including monitoring student grade reports, membership records, probation and dismissal records, reporting Honors grades to the Registrar’s Office, and tracking Honors activity points </li><li>Prepare correspondence for prospective students and current students and other communication. Process applications for the HP and TLCs. </li><li>Assist with maintenance of HP and TLC websites. </li><li>Coordinate student worker assignments and review in terms of completeness, timeliness, and accuracy. </li><li>Assist with student registration and other student needs, including coordination of priority registration for Honors students with the Registrar’s Office. </li><li>Assist with all aspects of event planning for HP and TLC activities, including the Honors Cords ceremony, luncheons, retreats, banquets, etc. and the TLC Welcome Week events. </li><li>Assist the Honors Student Council/Assembly with coordination of their events. Work with the Honors Faculty Council and the Theme Living Communities Council to arrange their meetings and support their tasks. </li><li>Collaborate with Housing and Residence Life on placing students in TLCs and Honors apartments. </li><li>Maintain inventory of supplies for Program. Receive and distribute incoming mail. </li><li>Other duties as assigned.</li></ul> Required Knowledge and Skills <ul><li>High school diploma/GED. </li><li>Two years of clerical experience or an equivalent combination of education and/or experience. </li><li>Experience with microcomputer, word processing, spreadsheet, database, and electronic mail software. </li><li>Knowledge of internet information gathering and ability to learn web creation and maintenance. </li><li>Excellent oral and written communication skills. </li><li>Excellent organizational and time management skills with keen attention to detail.</li></ul> Regular Work Hours/Travel Requirements Standard office hours are Monday through Friday, 8:00 a.m. to 4:30 p.m. As a part time position, it is expected this position work 18.75 hours a week, Monday through Friday.
