SUMMARY:&nbsp; The Admissions Representative - Nursing and Anesthesiologist Assistant program is responsible&nbsp;for the recruitment of qualified applicants for admission to the University in accordance with state and federal accreditation and institution policies and regulations, consistent with the highest ethical standards. The Admissions Representative is responsible for managing time and inquiry resources to generate interest in both the Nursing program and the Anesthesiologist Assistant Program for the Orlando campus. Job Summary
Supervises business/accounting functions of the Advancement Office and Paducah Junior College (PJC) Foundation. Provides assistance to the Vice President of Institutional Advancement/PJC Executive Director in managing foundation business operations and assets, including multiple donor funds and endowment accounts. Handles day-to-day financial management and accounting tasks for multiple entities, including operating budgets and investment accounts. 




Job Duties:
- Fund &amp; Account Management: Oversees multiple funds/accounts using Abila; reconciles general ledger, bank, and investment balances; performs multi-entity account reconciliations and journal entries. - Department Coordination: Works with 10–15 college departments to manage payment vouchers, prepare checks, and provide budget detail reports. - Accounts Payable &amp; Receivable: Handles all incoming and outgoing payments, ensuring accuracy and compliance. - Budgeting &amp; Reporting: Reviews actual vs. budgeted revenue/expenses; prepares annual operating budgets for Board approval; creates financial reports for PJC leadership and committees. - Payroll Administration: Processes monthly payroll for 3 foundation employees in QuickBooks, including taxes, retirement distributions, and quarterly/annual filings. - Tax &amp; Compliance: Files monthly state sales/use tax; ensures PCI compliance; maintains policies, legal documents, and accounting records. - Insurance &amp; Contracts: Manages insurance policies, secures event riders, tracks contract dates, and ensures all reporting/invoicing requirements are met. - Audit &amp; Oversight: Provides documentation for external auditors; supports annual financial review and audit. - Other Responsibilities: Performs additional duties as assigned to support PJC Foundation operations.

CEO, including monthly expense reporting.</li><li>Maintains accurate and complete directories and rosters of internal and external stakeholders.</li></ul>Board of Directors&nbsp;<ul><li>The Executive Assistant provides executive support for the Meet Minneapolis Board of Directors and related committees and advisory groups.</li><li>Ensures timely preparation and distribution of all presentations, agendas, board packets and supporting materials for Boards and Board standing committees meetings.</li><li>Maintains familiarity with the Board by-laws to support the Boards' compliance with its own policies and with best practices in board governance.</li><li>Ensures all Board and Committee governance standards are met including execution of required board documents (conflict of interest, code of ethics, etc.) on an annual basis, documenting minutes, tracking statistical and other information about the Board attendance, committee membership, terms, the Board's demographic profile, etc.&nbsp;</li><li>Ensures that the external SharePoint Site for board members is accurate and contains up to date information with all board materials.&nbsp;</li><li>Coordinates &nbsp;logistical arrangements for meetings of the Boards and the Boards' Committees, including space and facilities’ needs, meals and refreshments, supplies.</li><li>Coordinates all on and offsite technology for onsite and hybrid/remote meetings Board and Committee meetings.</li><li>In collaboration with the President &amp; CEO’s Executive Assistant, this position attends Executive Leadership Team and Leadership Team meetings and works closely with other leadership positions in the organization.</li></ul>ESSENTIAL EDUCATION/EXPERIENCE<ul><li>Minimum of three years’ experience supporting C-Suite level executives in a multi-stakeholder environment</li><li>Experience working with boards of directors, the nonprofit sector and/or public sector desirable</li><li>Project management experience (software and concept familiarity)</li><li>Event and meeting management experience&nbsp;</li><li>Bachelor’s degree or equivalent experience</li></ul>ESSENTIAL ABILITIES &amp;
