ABOUT THE CAMPAIGN FINANCE BOARD The New York City Campaign Finance Board manages New York City’s small donor democracy program and educates and engages voters via NYC Votes. ABOUT THE DEPARTMENT Records, Data, and Information is a unit that performs all phases of data and documentation intake into our internal applications, including the release and reconciliation of candidate financial disclosure submissions, amendments, and audit responses. We perform data entry for all incoming candidates related to information and provide quality control of the data. We also perform all phases of records intake and scanning/importing – both electronic and paper-based documentation that supports our agency’s auditing and enforcement mandates. We are responsible for identifying, compiling, analyzing, and redacting responsive records for Freedom of Information Law (FOIL) requests and saving the responsive records in an online accessible filing system for internal review and external production. Records, Data, and Information is also responsible for the agency’s records retention policies and procedures for both onsite paper and electronic records. We maintain administrative and archival records, including all mailings sent by CFB staff. We also manage onsite and offsite records, sending and retrieving files from the agency’s offsite storage facility while maintaining inventories for both records. JOB DESCRIPTION Responsibilities for this position focus on the records management work of the agency supporting the Assistant Records Management Officer by: - Organizing the Records Center which require the lifting and carrying of boxes while helping to inventory all records and information. - Performing work involving records inventory and retrieval. - Scanning and indexing agency records for on-site, off-site, and archival purposes. - Documenting the storage and disposal of outdated materials in an archival library or records management system. - Submitting and retrieving records from off-site storage in preparation for archival/disposal purposes in accordance with City &amp; State regulations. General Function:&nbsp;
Provide support to the Humanities Department. Work with the Dean of Humanities and Social Science in the planning and coordination of events.
Minimum Qualifications:

Major Duties and Responsibilities:
<ul>
<li>Provides general administrative support for the Dean of Humanities and social Sciences, Directors, full-time faculty, adjunct faculty, and other campus constituencies of the Humanities Department including maintaining office supplies, mail/courier coordination, ordering and inventory of needed equipment and supplies, travel planning and processing,&nbsp; provides equipment/copier troubleshooting, facilitating any needed repairs from outside vendors,&nbsp; creation and maintenance of academic, personnel, financial, and statistical records.&nbsp;</li>
<li>Assist with purchasing for theatrical productions, gallery openings, concerts, humanities events including processing pcard orders, supply orders, Sciquest orders, and disbursements; Assist with inventory and purchasing of art supplies</li>
<li>Oversees multiple Humanities budgets to include allocations, travel, disbursements, purchasing, verification, account reconciliation, financial reports, and communication with faculty, staff, and administration.</li>
<li>Provides administrative support to Humanities Dean or Directors, and faculty for calendar assistance, scheduling, arranging logistics, and coordinating travel and humanities events; Coordinate with Facilities and Academic Deans to maintain an events calendar for Powers Auditorium and the art gallery; Coordinate elementary school reservations for Motlow Children’s productions</li>
<li>Facilitates and coordinates campus events and productions to include theatre productions, musical performances, and art events; Coordinate ticket sales for theatrical production, concerts, arts or other humanities events including printing and folding tickets; Support Humanities events by collaborating with the marketing department to promote events, staff events, coordinate catering, set up, clean up, and other necessary pre and post event tasks.</li>
<li>Assist the Dean of Humanities &amp; Social Sciences with creation of contracts and honorariums for workers in the arts, such as models for Art classes, professional musicians for concerts, technicians for lighting and sound, and seamstresses; Assist the Dean of Humanities &amp; Social Sciences with the preparation of loan agreements for art exhibitions</li>
<li>Assist the Dean of Humanities &amp; Social Science to secure theatrical rights in coordination with the Motlow Foundation</li>
<li>Schedule fittings for students wearing costumes and performance attire</li>
<li>Assist and chaperone Humanities trips, including live productions at the Tennessee Performing Arts Center</li>
<li>Coordinate student workers in support of the Humanities Department</li>
<li>Other duties as assigned</li>
</ul>
